Studio Policy
Welcome to Capitol Harmony!
We are honored to support you on your musical journey.
These terms and conditions apply to all lessons at Capitol Harmony School of Music. Capitol Harmony School of Music reserves the right to update this policy as needed. Enrolled students and guardians will be notified when revisions are posted on the website.
Tuition & Scheduling
Lessons are held weekly at a fixed, mutually agreed-upon time and are billed on the first of each month. Tuition is based on lesson length and type (individual or group). Rates and available time slots are confirmed during the registration process.
When a student enrolls, a weekly lesson time is reserved exclusively for them. Enrollment automatically registers the student for all scheduled lessons in the month on their assigned day (for example, every Wednesday). Monthly tuition reflects the total number of scheduled lessons for that weekday in the billing month, regardless of attendance.
Capitol Harmony remains open on national holidays. See the Attendance & Make-Up Lessons section for exceptions.
Break Periods (No Regular Lessons)
No regular lessons will be held during the following scheduled breaks:
Thanksgiving Week: November 24–30, 2025
Winter Period: December 21, 2025 – January 4, 2026
Summer Period: July 1 – August 31, 2026
Private students may schedule additional lessons during these breaks at the standard rate.
Scheduling & Attendance Policy
All scheduling changes, cancellations, and make-up requests must be submitted through the MyMusicStaff Student Portal.
Missed lessons are non-refundable.
Lessons canceled with at least 24 hours’ notice may be rescheduled using a make-up credit, subject to teacher availability.
Cancellations made with less than 24 hours’ notice are not eligible for rescheduling, except in cases of illness or family emergency at the teacher’s discretion.
If a make-up credit is granted, the original lesson is still charged. The credit allows the student to schedule one make-up lesson at a later date.
Make-up credits are non-refundable and cannot be redeemed for cash or applied toward tuition if a student discontinues lessons.
Make-up lesson credits expire 90 days from the date of issuance. Expired credits cannot be reinstated.
Lessons begin and end at the scheduled time, regardless of late arrival.
For early childhood classes, students arriving more than 10 minutes late will not be admitted, as the teacher will already be actively teaching the group.
Discontinuation Policy
To discontinue lessons, a 30-day written notice is required. The notice period begins on the date written notice is received at admin@capitolharmony.com and extends through the same calendar date of the following month. All lessons scheduled during this period must be paid in full, regardless of attendance.
Additional Terms
Acceptance of Terms
By completing registration and submitting the first tuition payment, the student (or parent/guardian) agrees to all policies outlined in this Studio Policy.
The Studio Policy may be updated periodically. Any revisions will be provided with each new invoice. Continued enrollment and/or payment of any invoice constitutes acceptance of the most current version of the Studio Policy.
Transaction Fees
Please note that a 4% processing fee applies to credit and debit card payments, while no fee applies to direct bank transfers. Transaction fees are not refundable.
Online Lessons in Emergencies
In cases of snowstorms, severe weather, or political or safety-related emergencies, lessons will move online at the regularly scheduled time. For students aged 7 and older, lessons are expected to continue online, and rescheduling is subject to teacher availability. For children aged 6 and under, online lessons are often not effective; in these cases, the lesson will be reimbursed rather than held online.
Health and Safety
Students showing symptoms of COVID-19, the flu, or other contagious conditions may be denied entry to the classroom at the teacher’s discretion. Students are encouraged to attend online (if well enough) or request a make-up.
Personal Responsibility
Capitol Harmony is not responsible for lost or damaged belongings or for personal injury occurring on the premises.
Photo & Video Release Policy
By enrolling, students and/or guardians grant Capitol Harmony permission to photograph or film during lessons and recitals for marketing purposes. Student names will remain confidential and will not be published without separate written consent.
