Studio Policy

Welcome to Capitol Harmony!

We are honored to support you on your musical journey.

These terms and conditions apply to all lessons and programs at Capitol Harmony School of Music. Capitol Harmony reserves the right to update the Studio Policy as needed.

Acceptance of Terms

By submitting payment for any Capitol Harmony invoice, including Monthly Membership tuition, Lesson Packages, or other programs and services, the student or parent/guardian acknowledges and agrees to the Studio Policy in effect at the time payment is made.

Each payment constitutes renewed acceptance of the current Studio Policy. The version published on the Capitol Harmony website at the time of payment will govern that payment and the lessons or services associated with it.

Students and parents or guardians are responsible for reviewing the current Studio Policy before submitting payment. A link to the current Studio Policy is included with each invoice.

Tuition & Scheduling

Capitol Harmony offers two primary ways to take private lessons: Monthly Membership and Lesson Packages.

Monthly Membership

The Monthly Membership is designed for students taking regular weekly lessons.

Students enrolled in the Monthly Membership receive a fixed weekly lesson time reserved exclusively for them. Enrollment automatically schedules the student for all lessons occurring on their assigned weekday during each billing month.

Tuition is billed on the first of each month and reflects the number of scheduled lessons occurring that month. Because the student's weekly time is reserved exclusively for them, tuition is due for all scheduled lessons regardless of attendance, subject to the cancellation and make up policies below.

Rates and available lesson times are confirmed during registration.

Capitol Harmony remains open on national holidays unless otherwise indicated in the Studio Policy.

Lesson Packages

Lesson Packages are designed for students who prefer flexible or occasional lessons. Package lessons are scheduled individually through the MyMusicStaff Student Portal, are subject to teacher availability, and do not reserve a recurring weekly time. Monthly Membership students receive priority for recurring weekly lesson times.

Capitol Harmony reserves the right to reschedule a package lesson if its scheduled time is needed for a Monthly Membership. Whenever possible, at least seven days’ notice will be provided and alternative lesson times will be offered. The student will retain the package lesson and will not lose any lesson credit as a result of the change.

The 8 Lesson Package is valid for 6 months from the date of purchase.

The 4 Lesson Package is valid for 3 months from the date of purchase.

Unused lessons expire at the end of the applicable validity period and cannot be carried forward, credited toward another package or Monthly Membership, or refunded.

Payment

Monthly Membership tuition is billed on the first of each month for the upcoming month's lessons.

Lesson Packages are paid in full at the time of purchase.

A 4% processing fee applies to credit and debit card payments. No processing fee applies to direct bank transfers.

Transaction fees are non-refundable.

Scheduling, Cancellations & Attendance

All scheduling changes and cancellations must be submitted through the MyMusicStaff Student Portal.

Lessons begin and end at the scheduled time regardless of late arrival.

Missed lessons and late cancellations are non-refundable except where specifically provided under the Medical Exceptions section of this policy.

Monthly Membership Cancellations & Make Up Lessons

Monthly Membership lessons canceled with at least 24 hours' notice may be rescheduled using a make up credit, subject to teacher availability.

Cancellations made with less than 24 hours' notice and lessons missed without notice are not eligible for rescheduling.

When a make up credit is granted, the original lesson remains charged. The credit allows the student to schedule one make up lesson at a later date.

Make up credits are non-refundable, have no cash value, and cannot be applied toward future tuition or a Lesson Package if a student discontinues their Monthly Membership.

Make up credits expire 90 days from the date of issuance. Expired credits cannot be reinstated.

Lesson Package Cancellations

Package lessons canceled with at least 24 hours' notice will generate a make up credit through the MyMusicStaff Student Portal. The make up credit will automatically be applied to the student's next scheduled lesson and must be used before the expiration date of the original Lesson Package.

Make up credits issued for package lessons do not extend the package expiration date and have no cash value.

Package lessons canceled with less than 24 hours' notice or missed without notice are forfeited and deducted from the package. No make up credit will be issued.

Teacher Cancellations

If a teacher cancels a lesson, Capitol Harmony may provide a substitute teacher. If a substitute teacher is provided, the lesson will take place at the regularly scheduled time.

If Capitol Harmony is unable to provide a substitute teacher:

  • Monthly Membership students will receive a credit for the canceled lesson, which will be applied toward their next invoice.

  • Lesson Package students will retain the lesson in their package. If necessary to allow sufficient time for the lesson to be rescheduled, the package expiration date may be extended by up to 30 days.

Teacher cancellations will not result in the loss of a lesson for the student.

Break Periods

Summer Period: July 1 – August 31, 2026
During the summer period, Monthly Membership students may adjust their regular lesson schedule without discontinuing their membership.

Students enrolled in the Monthly Membership will be charged only for the lessons they plan to take during July and August, at their regular Monthly Membership rate. Students must notify Capitol Harmony of their summer schedule at least 30 days in advance so that tuition can be adjusted accordingly.

Once the summer schedule has been confirmed, scheduled lessons remain subject to the regular Monthly Membership cancellation and make up policies.

Thanksgiving Week: November 22–29, 2026

No regularly scheduled lessons will be held. Monthly Membership students are not charged for lessons that would normally fall during this break.

Winter Period: December 20, 2026 – January 3, 2027

No regularly scheduled lessons will be held. Monthly Membership students are not charged for lessons that would normally fall during this break.

Discontinuing Monthly Membership

Monthly Membership students must provide 30 days' written notice to discontinue their recurring weekly enrollment.

The notice period begins on the date written notice is received at admin@capitolharmony.com and extends through the same calendar date of the following month. All lessons scheduled during the notice period must be paid in full, regardless of attendance.

Students may continue to use the regular cancellation and make up policy during the notice period. Any unused make up credits expire at the end of the membership and have no cash value.

The 30 day notice requirement does not apply to Lesson Packages. Purchasing a Lesson Package does not create an ongoing enrollment commitment.

Additional Terms

Transaction Fees
A 4% processing fee applies to all credit card, debit card, and Stripe Link payments, including Instant Bank Payments. No processing fee applies to Bank Transfers (ACH).

Transaction fees are non-refundable, including when a lesson, Lesson Package, or other payment is subsequently refunded.

Online Lessons in Emergencies
In cases of snowstorms, severe weather, or political or safety related emergencies, lessons may move online at the regularly scheduled time.

For students aged 7 and older, lessons are expected to continue online when circumstances permit. If a student chooses not to attend online, the regular cancellation and make up policies apply.

For children aged 6 and under, online lessons may not be appropriate. In these cases, Monthly Membership students will receive a credit for the affected lesson, and Lesson Package students will retain the lesson in their package.

Health and Safety
Students showing symptoms of COVID-19, the flu, or other contagious conditions may be denied entry to the classroom at the teacher's discretion.

Students who are well enough to participate are encouraged to attend their lesson online when possible. Students who are unable to attend should follow the applicable cancellation and make up policies for their Monthly Membership or Lesson Package.

Personal Responsibility
Capitol Harmony is not responsible for lost or damaged belongings or for personal injury occurring on the premises.

Photo & Video Release Policy
By enrolling in a Monthly Membership, purchasing a Lesson Package, or participating in a Capitol Harmony program, students and/or their parents or guardians grant Capitol Harmony permission to photograph or film during lessons and recitals for marketing purposes.

Student names will remain confidential and will not be published without separate written consent.

Medical Exceptions
In the event of a significant injury, medical condition, or other circumstance that prevents a student from attending lessons for an extended period, Capitol Harmony may, at its discretion, make an exception to its standard cancellation and make up policies.

For Monthly Membership students, Capitol Harmony may pause future lessons and issue account credit or a refund for prepaid lessons.

For Lesson Package students, Capitol Harmony may extend the package expiration date to allow sufficient time for the remaining lessons to be used.

Lessons canceled with less than 24 hours' notice normally remain billable or are forfeited. However, Capitol Harmony may issue a make up credit or restore a package lesson as a medical exception.

Supporting documentation may be requested.

Any refunds issued are subject to non-refundable transaction fees.

L’Enfant Gallery Policies

The following policies apply only to lessons held at L’Enfant Gallery, 1442 Wisconsin Ave NW, Washington, DC 20007.

Respect for the Gallery
L'Enfant Gallery contains valuable artwork, antiques, and furnishings. Students and accompanying family members must exercise care while on the premises. Artwork, furniture, and gallery property may not be touched unless specifically authorized.

Responsibility for Damage
Students and their parents or guardians are financially responsible for any damage they cause to the gallery, its artwork, furnishings, or other property.

Supervision of Minors
Parents or guardians are responsible for supervising children before and after lessons and for ensuring that minors behave respectfully while on the premises.

Food and Beverages
No open food or beverages are permitted inside the gallery.

Safety
By attending lessons at L'Enfant Gallery, students and parents or guardians acknowledge that they understand the nature of the gallery environment and accept the ordinary risks associated with being on the premises, including accidental slips, falls, or contact with objects.

Limitation of Liability
To the fullest extent permitted by law, Capitol Harmony School of Music, its instructors, and L'Enfant Gallery, its owners, employees, and representatives are not liable for injuries, losses, or damages arising from participation in lessons or presence on the premises, except where caused by gross negligence or willful misconduct.

Insurance
Capitol Harmony maintains general and professional liability insurance for its operations. This insurance does not replace the personal responsibility of students or parents or guardians for their own conduct or for damage to gallery property.
